Agency document checklists: university requirements and country-specific steps
Use NIIED’s official document guidance to build a checklist separating university submission from issuing-country and receiving-office requirements.
Organise a document checklist in layers: university requirements, issuing-country translation and certification, and evidence requested by later receiving offices. Record the destination and use of originals beside each document.
A real university checklist
NIIED's Study in Korea lists graduation or expected-graduation evidence, all-year high-school transcripts, and family or household records used to check parents' nationality as separate items. Official government admissions document guidance
Instead of marking “education documents complete”, separate graduation evidence, transcripts and family records. Add language, certification and submission format to each item.
Status fields that make a checklist useful
Document and destination: university or later receiving office
Requirements: issuer, name spelling, translation language, certification and original or copy
Progress: not issued / issued / translated or certified / reviewed / dispatched / received
Owner and dates: student, local staff, Korea staff and deadlines
Corrections: requested change, date communicated and resubmission
Resolve differences between passport spelling and education records before dispatch. Track online submission and original-document arrival separately.
How do country-specific steps fit in?
Link education records to the issuing country's requirements, applications to the university, and later residence applications to the responsible official office. Record nationality, current residence and the country that issued academic documents separately. For example, a Vietnamese applicant who graduated elsewhere needs their academic certification checked against the issuing country.
Separate originals destined for the university from materials needed at the next stage. Record retention and return arrangements from the receiving office's guidance before sending the documents.
