Correcting a Student’s Name or Nationality after Registration
Connect the official correction, approved academic update and related documents. Yonsei and SNU examples inform a practical status table.
After registration, correcting a partner’s spreadsheet does not complete a name or nationality correction. Follow the university’s application and approval, academic-record update and review of related lists or issued documents. Keep the official route and final approved value central.
Separate display names from academic corrections
A counselling name, display name, passport name and official academic name serve different purposes. Distinguish a spelling error from a legal name or nationality change and use the institution’s naming rules.
Identify the system and field involved. Confirm the correction type and evidence needed before copying personal details across more records. Staff should not independently translate or reorder the official name.
Two official university examples
Yonsei Graduate School requests supporting evidence through its portal correction application and distinguishes English-name and nationality changes.
A September 2026 SNU Nursing notice requires passport evidence for English-name changes, separates current/on-leave students from graduates/completers, and explains that the name appears on certificates including degrees. Use each procedure in its own institution.
A GEA correction-workflow example
Stage | Record | Who confirms |
|---|---|---|
Identify correction | Name, nationality, number, source of mismatch | Student and university |
Official application | Route, date, reference, evidence status | Receiving office |
Review or supplement | Request, response, next deadline | Approving office |
Academic update | Approval and effective dates, verified final value | Academic-record owner |
Related records | Lists, certificates, issued-document action | Relevant issuing office |
Student notice | Result and any further request | Student |
Submission and completed academic update are different statuses. If more evidence is requested, give the student one clear list with the date and next review. During review, avoid circulating different requested values as final.
Check documents already issued
After approval, verify the academic record first. Then review departmental lists, contact records, planned certificates and previously issued documents. The issuing office decides whether reissue or a separate application is needed.
If a contact list is updated but a certificate already exists, confirm its handling before closing the case. External-agency records require a separate check; do not assume a university approval changes them.
Give the student a short action-and-result notice
State the item, evidence, route and status to check after submission. On completion, identify the records updated and any action still required. Link the designated evidence route and staff confirmation instead of sending originals again to broad groups.
For cooperation with GEA, provide recurring correction types, the official procedure, related documents and responsible offices. The points where repeated checks or duplicate transmission occur help define the work needed.
