Agency cost sheets: avoid double-counting bundled study fees
Build an agency cost sheet from a real July 2026 KIT invoice example. Separate tuition, housing and bundled charges, then record payment timing and periods.
A student cost sheet should show each amount, the contents of bundles, the period covered and payment timing. A total alone can lead to textbooks or insurance being counted twice, or to housing being read as covering the whole course.
A real KIT language-course invoice example
GEA's public record for Kyungnam College of Information and Technology, July 2026, four terms / 40 weeks, in KRW contains:
Tuition: KRW 4,800,000, four terms / 40 weeks
Accommodation: 1,140,000, 180 days / six months / twin room
Other-fee bundle: 790,000, covering registration, textbooks, insurance, airport pickup and cultural activities
Combined amount: 6,730,000
Textbooks and insurance are already inside the bundle. Count them there once. Check the housing move-in and move-out dates against the 180-day charge and plan later accommodation separately. Published KIT cost record
Which columns should a counselling sheet contain?
Start with university, programme, intake and source date. For each item, add amount, currency, period and payment stage. Show the components of bundles with an “included in total” label. Keep food, transport and document costs separate from the university invoice total.
In this example, insurance can have its own explanatory row while still being counted only once within KRW 790,000. Showing students what a charge contains is different from adding another charge.
How should revised fees be communicated?
Record the old and new amounts, applicable intake and changed item together. Track whether the student received the update and who checked it. Match the intake and covered periods before comparing two fee sheets.
Prepare your partnership enquiry
Tell GEA your operating country, main programmes, universities and intake to compare, and how you currently explain costs. Discuss programme and scholarship checks and the cost information students need.
Discuss student cost guidance and admissions cooperation
Start with programme checks and responsibilities
