International student recruitment tracker: classify readiness by intake
Separate enquiry volume from students who can actually prepare an application. Use an intake-based readiness table, evidence dates and a named next action to make overseas recruitment reports useful.
An international student recruitment tracker works when it counts each student once within the relevant intake and application route, then records readiness and the next action. A report saying “30 enquiries from Vietnam” does not reveal who can prepare an application for the current round. Missing graduation documents or a language result due after the deadline require different responses.
Start with the intake and application route
NIIED’s 2027 GKS Undergraduate University Track notice explains that participating universities set their own selection plans, application periods and procedures. This is a concrete reason to identify the route alongside the year. Keep GKS University Track, regular international admissions and language-course enquiries separate. Official GKS notice
Record the university and campus, degree, department, teaching language, entry semester and application route. If a student changes intake, update the current target while retaining the previous enquiry history. When one student explores two programmes, report student numbers separately from programme options.
Use four operational readiness categories
These are GEA’s suggested working categories, separate from a university’s admission decisions.
Readiness | Evidence | Next action |
|---|---|---|
Basic information missing | Target intake, course or prior qualification is missing | Request only the missing information |
Timing needs adjustment | Result, graduation or document date falls after the submission deadline | Check the next intake or an accepted submission arrangement |
Application preparation underway | Target established; required evidence still being prepared | Review remaining items and expected completion dates |
Pre-submission check | Required materials and dates have been compared | Confirm the student’s intention and proceed with the actual application |
A pre-submission check is not a submitted application. Record online submission confirmation or an application number as a separate event.
Worked example: three students, three actions
In an illustrative tracker, Student A has a language result and awaits an academic transcript. Student B expects a language result after the programme’s submission deadline. Student C has not chosen a department or teaching language.
Ask A about the transcript issue date and delivery timing. Check whether B’s programme accepts later evidence, or discuss a subsequent intake. Help C clarify the programme choice first. Sending all three the same “please send your documents” message would leave their different obstacles unresolved. This is a working example, not a recruitment outcome.
Seven fields to begin with
Student reference and responsible partner.
Target intake and programme identity.
Current readiness and the reason for classification.
Remaining critical evidence and expected availability.
University submission deadline.
Next action, owner and target date.
Last confirmation date and the student’s intention to proceed.
Calculate country summaries from these student records. Missing information and a confirmed mismatch with entry requirements need separate labels.
What should the university review this week?
Choose one active intake and inspect rows without a clear next action. Compare enquiry, preparation and submission counts at the same reporting date. This helps distinguish a counselling backlog from a document-review backlog. Study in Korea also treats programme selection and admission application as separate steps. Official preparation flow
To discuss the workflow with GEA, share the university, target intake, courses, existing status labels and the stage where progress most often stops.
