Who should write your graduate recommendation?
Separate an academic reference from an institutional funding letter, and track the referee’s submission rather than only your own application.
Before choosing a referee, identify what the university wants the document to establish and who must submit it. An assessment of academic or research potential serves a different purpose from an employer’s confirmation of financial support. Similar document names do not make the files interchangeable.
An academic reference or a sponsor’s document?
KAIST’s official graduate online application guide describes an applicant entering referee information and a referee uploading a letter directly to the university system. UNIST’s Spring 2027 guide separately lists an institutional recommendation for applicants funded under Other Scholarship. That item should not be turned into a universal requirement for a professor’s letter.
Item | Question to resolve | Material to prepare |
|---|---|---|
Academic or research reference | Eligible writer, number, prescribed form | Evidence from classes, projects or research |
Institutional support letter | Whether your funding category requires it | Contact able to confirm employment and support |
Submission channel | Direct referee upload or sealed original | Correct email or the required envelope |
Deadline | Same as the application, or separate? | Date, time and Korean time conversion |
Copy the writer eligibility and required number from your chosen intake’s instructions. Do not import another university’s online procedure into a postal submission process.
Choose someone who can describe your work
Within the university’s permitted referee categories, look for a person who observed what you actually did. A course lecturer might discuss assignments and presentations; a project supervisor might describe how you refined a question or handled evidence. If an employment reference is accepted, consider whether the supervisor can explain the connection between your work and graduate preparation.
A useful preparation sheet lists the course, semester, project and your individual contribution. A transcript or short project summary can help the referee recall the context. The applicant should not take control of the referee’s account or present a self-written assessment as the referee’s independent judgement.
Send a complete request
State the university, degree, reason for applying, how the referee knows your work, submission channel and deadline. Attach a concise CV and research-interest summary. Offer verifiable facts rather than asking the writer to repeat impressive but unsupported descriptions.
For a fictional preparation example, a student from a data-analysis course could note responsibility for cleaning survey data, interpreting results and revising a classification rule after finding an error. This is a factual memory aid for the referee, not a ready-made recommendation to sign.
Your submission does not complete the referee’s task
KAIST’s online guide explains that the system emails referees after payment of the application fee. Referees upload by the designated deadline; applicants can monitor status or send a reminder from the document-submission page. The guide says recommendation letters need not be included in the applicant’s own materials file.
Track four separate states: referee agreed, system invitation sent, invitation received, university submission completed. An email typo or a spam filter can interrupt the sequence. Do not mark the final state complete merely because your application was submitted. If an invitation cannot be resent through the current screen, use the university’s admissions enquiry channel.
Make the final check practical
Confirm the referee’s email and English name spelling, then share an application number where needed. Ask politely about submission status; requesting access to the evaluation itself is unnecessary. Leave time to identify another eligible referee if availability changes.
Your next step is a single completed requirement row for one programme: university, intake, degree, referee eligibility, number, submission owner and deadline. Bring that row and your academic history to GEA if you need help organising differences between applications and identifying missing documents.
Record your intended field, current qualification and target intake in the free study roadmap. To compare university options, review the scope and application route for GEA university matching.
